Position Summary

Upstream is scaling its use of AI across the organization: in program delivery and practice transformation, partnership success, development, finance, marketing and communications, and within the technology team itself. Reporting to the Director of Data, Analytics and Technology (DAT), this role is a hands-on, forward-deployed position that will embed directly with teams across Upstream to understand how their work gets done, identify where AI can help (and where it doesn't), build working solutions, and stay with those solutions through adoption and measurement.

This is a manager/builder/coach role: you will discover and prioritize use cases, prototype and deliver practical tools, and develop the training and resources that raise AI fluency organization-wide, all while leading tool evaluations, guardrails, and cost stewardship that keep our AI footprint responsible and sustainable.

Essential Duties and Responsibilities

Use Case Discovery & Prioritization

• Embed with teams across Upstream to understand end-to-end workflows, undocumented processes, and the manual work that slows them down.
• Identify, scope, and prioritize AI and automation opportunities based on business impact, feasibility, adoption potential, and risk.
• Translate ambiguous business problems into clearly defined use cases, solution hypotheses, and build plans.
• Exercise judgment about what is worth building — including recommending against AI when a simpler process change or an existing tool solves the problem.

Solution Building & Delivery

• Design, build, test, and deploy practical AI-enabled solutions — prompts, skills, agents, automations, and lightweight applications — using Upstream's approved AI tools, platforms and enterprise data.
• Prototype rapidly, put working solutions in front of real users quickly, and iterate based on feedback and observed usage.
• Build and curate a reusable library of prompts, skills, templates, and workflow components so that solutions compound rather than live in one person's hands.
• Partner with DAT colleagues to transition validated prototypes into supported, production-ready solutions when scale or sensitivity warrants it.
• Document solution requirements, configurations, operating procedures, and expected outcomes.

Enablement, Training & Adoption

• In collaboration with other DAT team members, develop and deliver Upstream's AI training program — workshops, office hours, self-paced content, and role-specific guidance — so Upstreamers across every function use AI effectively, safely, and confidently.
• Create and maintain user-facing resources including documentation, quick-start guides, best practices, and the Upstream AI Hub.
• Cultivate a network of AI champions across departments who drive adoption within their own teams.
• Surface and share wins — quantified time savings, before/after workflows, and lessons learned — to build organizational momentum.
• Support change management for new AI tools and ways of working, meeting people where they are and building trust with skeptics as well as enthusiasts.

Governance, Tools & Measurement

• Serve as Upstream's internal subject matter expert across our evolving AI and automation ecosystem.
• Evaluate emerging AI tools, platforms, and connectors; recommend what to adopt, pilot, or decline, in partnership with DAT leadership.
• Partner with DAT, Finance, and Contracts colleagues on license administration, provisioning, vendor review, cost tracking, and renewal planning for AI tools.
• Help establish and maintain practical guardrails covering data privacy, PHI and sensitive-data handling, appropriate use, and human review — and educate Upstreamers on them.
• Define and track success metrics tied to real outcomes: time saved, quality improvements, usage, and adoption; report progress to DAT and organizational leadership.

Required Education, Experience, Knowledge, Skills and Ability

• Bachelor's degree in a related field, or equivalent professional experience.
• 5+ years of experience in analytics, technology, internal tools, business process improvement, automation, consulting, or a closely related field, including hands-on work delivering AI or automation solutions in a business setting.
• Demonstrated hands-on ability to build with modern AI tooling — LLM platforms such as Claude or ChatGPT, prompt and skill development, agentic workflows, and automation or low-code/no-code platforms. This role requires a practitioner, not only a strategist.
• Proven track record translating ambiguous business needs into practical, working solutions, and moving from problem discovery to a usable result quickly.
• Experience developing and delivering training, documentation, or enablement programs that changed how people actually work.
• Comfort working with data from multiple systems, both structured and unstructured, and enough fluency with SQL or equivalent to investigate and validate independently.
• Excellent written and verbal communication skills, including the ability to explain technical concepts to non-technical colleagues and to present clearly to senior leadership.
• Ability to build trust and influence without direct authority, across every level of the organization.
• Self-directed and highly organized, with the judgment to manage multiple concurrent initiatives and to prioritize in a fast-moving environment.
• AI Fluency & Tool Integration: Ability to identify and leverage generative AI tools (such as LLMs, image generators, or industry-specific copilots) to streamline workflows, automate repetitive tasks, and enhance overall output quality while maintaining the proper human checkpoints.
• AI Prompt Engineering & Critical Output Evaluation: Proficiency in crafting effective prompts to achieve desired outcomes and the critical thinking skills necessary to audit, fact-check, and refine AI-generated content for accuracy and brand alignment.
• Ethical AI Awareness: A foundational understanding of the ethical implications of AI, including data privacy, bias recognition, and the responsible use of company information in third-party AI environments.
• Demonstrates the ability to remain focused, adaptable, and solution-oriented in the face of challenges, setbacks, or ambiguity. Approaches obstacles with a growth mindset and maintains a steady commitment to goals, even under pressure or changing circumstances; resilient.
• While we are a remotely based organization, we maintain an on-camera culture during meetings to support connection, engagement, teaming and collaboration. Must be comfortable and able to participate in this environment.

Valued and Non-Essential Education, Experience, Knowledge, Skills and Ability

• Prior experience in an AI enablement, AI operations, internal tools, forward-deployed, or other business-embedded technical role.
• Experience in a nonprofit, healthcare, or mission-driven organization, including familiarity with PHI and sensitive-data handling.
• Familiarity with Upstream's core systems — Salesforce, Snowflake, dbt, Power BI, Asana, Google Workspace, Slack.
• Working knowledge of APIs, connectors, MCP, or scripting in Python or a similar language.
• Experience standing up enablement programs, champions networks, or internal knowledge bases.
• Experience evaluating vendors and managing software licenses, usage tracking, or cost models.
• Experience partnering with security, privacy, or compliance colleagues to evaluate technology.
• A point of view on where AI does and does not belong, informed by having shipped things that worked and things that didn't.

Travel Requirements

This role will require up to 20% business travel. All Upstreamers can expect a minimum of 8 days of business travel per year to attend 1 annual organizational retreat and 1 or 2 annual team/department meetings.

Appointment End Date

This is a fully benefited, full-time Upstream USA position that has been funded for 12 months from date of hire. There is the possibility of extension or conversion to a continuing position, contingent upon performance meeting the needs of the department, organizational need, and the continued availability of funding designated to support the position.

Hiring Range

The hiring range for this role is $140,000 to $155,000.

Pay Transparency

Final offers for this position will be based upon several factors including the scope of the role, market compensation analysis, position requirements, candidate's experience level and capabilities, fairness in internal pay considerations and will be made within the parameters of Upstream USA's compensation framework and philosophy.

• In our hybrid work environments, there is a basic expectation that our Upstreamers will ensure that their work from home setups will have reliable access to phone and Internet to ensure connectivity to their teams.

As part of our hybrid work practices, this travel expectation will be applicable for all Upstreamers, even those based remotely.
